EDUCATION & WORK EXPERIENCE
- A high school degree or equivalent experience is preferred.
- Experience with receptionist duties and personal computer is preferred.
- Experience with billing software usage a plus.
JOB SUMMARY
The office assistant performs general office support and receptionist duties and other duties as assigned. Provides pleasant and professional office support to the public and other staff. Works as a team with all personnel.
DUTIES AND RESPONSIBILITIES

- Greets the public in person and on the phone in a polite and professional manner, providing general information, answering questions, and directing people to appropriate staff.
- Responsible for the day to day office phone management. Answers phone, receives messages, and returns messages as appropriate. Assures the office phones are forwarded to answering service for after hours, weekends, and holidays for on call staff.
- Receives, sorts, files and retrieves forms, correspondence and documents.
- Processes and distributes confidential and sensitive information.
- Processes documents to update and maintain files and records.
- Establishes and maintains filing systems.
- Composes, formats, and types routine correspondence, reports, and other documents.
- Operates a variety of office equipment including, but not limited to personal computers, typewriters, transcription devices, and adding machines.
- Maintains medical supply inventory and reports to the office manager what needs to be ordered.
- Receives and processes incoming mail.
- Compiles reports and summary as directed.
- Prepares mail, fills copy machine, shreds paper, and delivers faxes.
- Housekeeping duties which may include taking out trash, washing dishes, tidying up conference room.
- Performs job in compliance with agency policies and procedures as well as community and professional standards.
- Accepts responsibility in accordance with the role of the Office Assistant.
- Assures compliance with applicable laws.
- Attends meetings and educational programs required.
- Participates in the agency quality improvement activities.
- Maintains privacy in all aspects of the job.
- Participates and communicates with other departments to assure that tasks are completed.
- Performs additional duties and responsibilities as deemed necessary.
PHYSICAL EXPECTATIONS
- Ability to lift and carry:
- up to 25 lbs. frequently
- up to 40 lbs. occasionally
- over 40 lbs. rarely
- Ability to climb stairs while carrying objects.
- Normal vision with correction.
- Normal range of hearing with corrections.
- Frequently perform daily duties which involve standing, bending, pivoting, squatting, kneeling, and crouching.
